Job Title: Executive Assistant

Job Description: The executive assistant provides high-level administrative and organizational support to management. They manage the schedule, organize meetings, prepare documents, and handle internal and external communications. They are also responsible for managing travel arrangements, orders, expense reports, purchase orders (PO), room and parking reservations, as well as overall calendar management.

Main Responsibilities:

  • Manage the schedule and coordinate appointments
  • Organize and coordinate meetings, including booking rooms and parking
  • Handle correspondence and communications
  • Prepare reports, presentations, and other administrative documents
  • Manage business travel arrangements (bookings, hotels, transportation)
  • Place and follow up on orders (purchases, supplies)
  • Handle expense reports and reimbursements
  • Create and track purchase orders (PO)
  • Organize and manage meeting room and parking reservations
  • Perform various administrative tasks as needed

Required Skills:

  • Excellent organizational and time management skills
  • Ability to work independently and proactively
  • Strong written and verbal communication skills
  • Discretion and confidentiality
  • Proficiency with office tools (Microsoft Office, Google Workspace, etc.)
  • Previous experience as an executive assistant or in a similar administrative role is a plus
